Issue
I want to configure UMD Gmail with Microsoft Outlook without using Google Workspace Sync for Microsoft Outlook (GWSMO).

Enable IMAP on your UMD Gmail
IMAP is not enabled by default on Google accounts.
- Go to Gmail.
- In the top right, click the settings gear. The Quick settings menu will appear.
- Select See all settings.
- Select the Forwarding and POP/IMAP tab.
- In the IMAP access: section, select Enable IMAP.
- Select Save Changes.
Turn on 2-Step Verification
Google's 2-Step Verification is required to generate App Passwords. There are several options available to verify it is you: Google Prompt, Security Key, text message or voice call. This guide uses codes sent by text message.
- Go to your Google Account.
- Select the Security tab.
- In the How you sign in to Google section, select 2-Step Verification. An overview of the 2-Step Verification service will display.
- Select Get started. The Central Authentication Service (CAS) will display.
- Sign in to CAS with Directory ID and passphrase.
- Complete the Duo Prompt. A 2-Step Verification page will display.
- If you're not given the option to set up your phone, select Show more options and select Text message or voice call.
- Enter what phone number you want to use and select Text message as the way to get codes. Google will send you a text message with a verification code.
- Enter your verification code and select Next.
- Select Turn On to turn on 2-Step Verification.
Generate an App Password
You'll use an App Password in Outlook instead of your Directory ID passphrase. Like your Directory ID passphrase, an App Password grants complete access to your Google Account, and should be protected.
- Go to your Google Account.
- Select the Security tab.
- In the How you sign in to Google section, select App Passwords. If you don't see this option, use the Search Google Account field at the top of the app to search for App Passwords.
- In the select app dropdown, select Mail.
- In the select device dropdown, select Windows Computer.
- Select Generate. A generated app password will display; save it for use later. Like your Directory ID passphrase, an App Password grants complete access to your Google Account.
Configure Mail in Control Panel
You'll use the older Windows Control Panel to add the email account to Outlook.
- Open Control Panel. You can search for it using the Windows start menu.
- Display all control panel items by changing the View by: setting from Category to Small icons.
- Select Mail (Microsoft Outlook) (32-bit). The Mail Setup - Outlook window will display.
- Select Email Accounts…. An Account Settings window will display.
- Select New…. An Add Account window will display.
- Select Manual setup or additional server types.
- Select Next.
- Select POP or IMAP.
- Select Next.
- Enter your name and UMD email address in the User Information section.
- Change Account Type: to IMAP.
- Enter imap.gmail.com in the Incoming mail server: field.
- Enter smtp.gmail.com in the Outgoing mail server (SMTP): field.
- Enter your UMD email address in the User Name: field.
- Enter the generated App Password in the Password: field.
- Select More Settings…. An Internet Email Settings window will display.
- Select the Outgoing Server tab.
- Enable the My outgoing server (SMTP) requires authentication checkbox.
- Leave Use same settings as my incoming mail server selected.
- Select the Advanced tab.
- For Incoming server (IMAP):, change Use the following type of encrypted connection: to SSL/TLS. The port number should change to 993.
- For Outgoing server (SMTP):, change Use the following type of encrypted connection: to SSL/TLS and enter 465 as the port number.
- Select OK. The window will close and the Add Account window will regain focus.
- Select Next. A Test Account Settings window will display and validate your account settings.
- Select Close. The window will close and the Add Account window will regain focus.
- Uncheck the Set up Outlook Mobile on my phone, too.
- Select Finish. The window will close and the Account Settings window will regain focus.
- Select Close. The Mail Setup - Outlook window will regain focus.
- Select Close.
- Open Outlook. The Central Authentication Service (CAS) will display.
- Sign in to CAS with your Directory ID and passphrase.
- Complete the Duo Prompt. A Microsoft apps & services window will display.
- Select Allow. Outlook will begin syncing your messages.
Turn off 2-Step Verification
You can disable 2-Step Verification now that you've generated an App Password and configured Outlook.
- Go to your Google Account.
- Select the Security tab.
- In the How you sign in to Google section, select 2-Step Verification.
- Select Turn Off. A confirmation window will display.
- Select Turn Off again.
