Request a project
In order to request a ChatGPT project so you can issue and revoke API keys, send a request to software-licensing@umd.edu and cc your Fiscal Officer. When sending the request please provide:
- The project name.
- Billing Account number.
- UMD Email and names of project owners and project members (see project roles and responsibilities below). At least one project owner must be specified.
Software licensing will create a project, and the project owner will be responsible for adding members to it. Project owners and members can then issue and revoke API keys. Software licensing will then bill the account monthly.
NOTE: A project can only be associated with a single billing number. You can provide a different billing number for each project. All API keys associated with a project will be billed to the same billing number associated with the project.
Project roles and responsibilities
Project owner
Project owners have all the capabilities of project members, with the added responsibility of managing the team. They can add and remove members from the project. However, before a project owner can add members, the AI team must first add these members to the API workspace. Once this is done, the project owner can select and add new members.
Project member
Project members are responsible for managing the API keys associated with the project. They can issue and revoke API keys as needed, with all API key usage being billed to the project's billing number. Additionally, project members can view the monthly usage and charges for the project. However, costs in the usage tab are aggregated at the project level and not broken down by individual API keys. They also can create assistants, fine-tune jobs and batches, and upload data to vector storage, all accessible via the "Dashboard" in the top navigation.
Security
Project members and owners are responsible for keeping API keys secure.
Project setup and management
When a new project is created, AIS will assign the designated Project Owner(s) to the project. As a Project Owner, you are responsible for managing the project team members. You can add or remove members through the "Members" tab. You can only add team members you have asked Software Licensing to add to the API workspace. Team members can add and remove their own API keys, which will all be billed back to the project billing number.

Adding new members
If you need to add members who aren't available in the dropdown menu, email dit-ais@umd.edu with the project name and the names and email addresses of the individuals you'd like to add to the workspace. Once AIS adds them and they accept the email invitation, you can add them as project members.
Terminate a project
To terminate a ChatGPT project, send a request to dit-ais@umd.edu and provide the project name. AIS will remove all project members from the project, and Software Licensing apply a final bill to the department account.
Billing
Will users be able to use both GPT and the API under the Enterprise License?
The ChatGPT platform and the API platform operate separately so it will be billed separately from the monthly ChatGPT user license. API usage is billed to separate projects attached to billing numbers, so purchasing the $30 ChatGPT license to use the API is unnecessary.
Are there usage limits?
There are no formal limits; however, you will be billed for the tokens you use. Any usage of an API key will be billed to the project associated with the API key and the billing number associated with the project.
