Earlier this month, I was delighted to speak to so many staff, faculty, and students across all of our institutions at the Fall 2022 Town Hall sessions. We had 640 people join us from the University of Maryland College Park, University of Maryland Eastern Shore, University of Maryland Center for Environmental Science, and University System of Maryland Office. Such continued engagement from staff, faculty, and students across our partner institutions is critical for the successful implementation of Workday.
A key message of the November Town Hall presentation was to outline steps for user groups to begin preparing for our transition to Workday in July 2023. In less than five months from now Workday training will begin to be available in April 2023. Divisions, colleges, and units should all begin working with their staff and faculty to fully prepare for the transition including the need to make time for Workday training while still conducting our everyday business in the legacy systems.

In November, we also held a Functional Overview on The Power of Reporting in Workday. This Functional Overview provided a sneak peek into reporting in Workday, including a high-level overview, key changes, and benefits. If you missed it, you can watch the session recording.
Workday Feature of the Month: Reports
In the current state, our institutions complete a lot of reporting outside of the system. Generally, our homegrown systems have no native reporting capabilities. In Workday, the majority of users will have everything they need through Workday. Workday delivers an extensive number of standard reports. In addition, the Elevate program has identified and built additional custom reports based on UMD’s specific requirements. Currently, we have hundreds of reports that will appear within Workday (depending on your security role).

The reporting capabilities in Workday offer many advantages, including:
- Data are accurate and accessible in real time upon page refresh.
- Reports are secure. Data are visible only to the roles given the appropriate permissions.

Will Workday reporting replace BA4?
Workday's reporting capabilities are powerful and we anticipate that you will want to use Workday reports as your standard "first stop" to get information, particularly because you can take action right from the results. With that said, BA4 is not currently scheduled to go away, so it will still be available.
Will I be able to create my own reports in Workday?
No, users will not be able to create their own reports in Workday. You will have access to vetted, standard reports that enable you to access the data you need to perform your job.
Workday delivers an extensive number of standard reports. In addition to the standard reports, we’ve identified and built additional custom reports based on UMD’s specific requirements. Currently, we have hundreds of reports that will appear within Workday (depending on your security role). These reports have lots of power and flexibility given drill downs and filters that can be saved.
Words of Workday
- Standard Reports: Reports that Workday creates and delivers to all Workday customers.
- Saved Filters: Workday offers the ability to save filters on custom reports. This allows you to save your prompt parameters to be used again.
- Prompts: Prompts are selections that can be displayed prior to executing a report, if they have been enabled on that report. Prompts allow you to filter for report results. Prompts can be optional or required, as indicated by a red asterisk. Individual or multiple values can be edited based on the desired results.

Ian McIntosh, Reporting Lead
an McIntosh joined the University of Maryland in 2019 as a Senior Financial Analyst for the Controller’s office. In this role, Ian supported the Controller’s office and General Accounting department’s operations through performance analysis, report creation and process efficiency improvement. In his new role as a Reports Developer, Ian is taking his knowledge of Maryland’s current financial reports to design and build reports in Workday. When Ian came to Elevate in July 2021, he was excited to get an opportunity to get in on the ground level of a project that touches every corner of the campus. “Elevate is the future of how campus will operate,” Ian says. “It’s cool to create a lot of value for the campus from the start, and become a subject matter expert for this new system.”
